Active Strategic Initiative Update – Month Ending July 2020

Multi-Semester Registration Implementation

  • The goal of the Multi-Semester Implementation project is to standardize several of the academic processes, as well as provide enhancements to existing applications, to support the implementation of Multi-Semester Registration and Scheduling, which was implemented on March 30th, 2020.  The remaining work includes the development and implementation of features to further improve the user experience. 
  • The team continued to implement many of the prioritized features, including:
    • SAP RFC for Academic Calendar
    • Workflow dashboard improved experience and filtering abilities.

 

  • Additional features in testing and/or development include:
    • Non-Standard Graduation changes including report updates
    • Fourth repeat registration exception for graduate students’ new form and workflow
    • Additional MAP reports within Data Warehouse

 

CMU Website Redesign

  • The goal of the CMU Website Redesign Project is to work with design partner mStoner to assist CMU with defining an overall website strategy, as well as implementation partner SilverTech to assist CMU in implementing the designs and functionality for the website.  This project includes sites for external recruiting, public information, and internal information. 

 

  • An overall Project Plan has been finalized and is being implemented in tracking progress of the overall project including copywriting, development, system configuration, training, strategy and intranet components.  This holistic timeline will provide insight into the milestones that must be met in order to launch the website by the desired timeframe.

 

  • Content planning and creation progress continues in collaboration with mStoner. The writing progress includes:
    • 292 in progress
    • 181 In queue
    • 473 total

 

  • A Training Plan is being put into action to bring greater visibility to campus communicators on how to develop and implement content following best practices, along with anticipated timelines for the website project.  Find more information here.  The Web Governance team continues to meet weekly to work through strategy, including data integrations for program bulletin information, directory, event/event registration, as well as program finder functionality.  Also working through forms and integrations with CRM.

 

  • Website development has been completed for Home Page, Program Finder including search, filters, cards, as well as the universal page template and widgets.  Also the program page and landing page.  Design updates based on the new brand have been completed and are now being incorporated to the development of the site.  A demo was provided to the project executive sponsors on July 28th showcasing what has been developed to this point.

 

Advisor CRM (Succeed)

  • The goal of this project is to provide a holistic 360-degree view of the student, accessible by students and all appropriate departments within the University, to ensure holistic advising and success coaching for the success of the student.  The primary objectives of this project include: case management capabilities for advisors and success coaches; student-initiated appointment scheduling & tracking; tracking of risk, success & progression milestones; and onboarding roadmap for remaining departments. 

 

  • On July 22nd, the Advising CRM Succeed solution was implemented!  Students now have the ability to schedule appointments with advisors and success coaches. We have faculty and staff engagement with an assigned group of students and access to unified interaction and communication history and notes.  Staff-initiated and automated communications and nudges in response to student needs are now available, as well as “To Do’s” aligned with specific student segments.  Success plans and success networks have been created to support students, with a dynamic retention scoring and integrated workflow.

 

  • The Succeed team met with new members of leadership including Jim Bujaki, Jennifer DeHaemers and Julia Johnson, to provide a brief background of the project, a demo of features to be delivered with the initial launch, an overview of the remaining prioritized features to be implemented, and a review of the plan to onboard additional departments/units into the solution.

 

  • As we continue to progress with the implementation of the Succeed solution, additional stakeholders have been included to work on the prioritization of additional features to be implemented after this initial launch.

 

Admissions Process Standardization

  • The goal of the Admissions Process Standardization Project is to create and sustain competitive advantages through streamlined and intuitive processes and policies.  This will be accomplished by working with a consultant to review, optimize and standardize the Admissions processes, including the upstream and downstream processes.  The consultant will work with CMU teams to identify opportunities to increase efficiency and reduce redundancy by understanding how the various offices operate and integrate with other areas across the student life cycle, through a review of current operations, organizations, processes and policies.

 

  • The team is conducting bi-weekly working sessions to continue to progress through the roadmap of improvements, to ensure we are on track with the planning an execution of various deliverables.

 

  • The team attended vendor showcases during the week of July 20th to assist in understanding the next generation Admissions CRM capabilities and opportunities.  This information will feed into the creation of the user stores and requirements.

 

  • The team is now finalizing the RFP for the new Admissions CRM solution with the goal of sending this to vendors the first week of August.  The team will then hold vendor demo’s, and follow the process to create the Admissions CRM proposal for submission to leadership for approval and funding.
